Office Administrator – Green Bay Office

Our Green Bay, WI office is now hiring for an Office Administrator. The Office Administrator is responsible for supporting the company by providing administrative support to management and employees. This position is also responsible for coordinating all office activities. This position may will also assist with accounting and payroll related tasks. The schedule for this position is 32-40 hours per week. Mondays and Fridays are required, but we are flexible on what other days this position works.

Main Responsibilities Include

  • Perform all receptionist functions including: greeting visitors and answering incoming calls, sorting and distributing mail to appropriate employees
  • Assist with accounting duties such as: issues invoices to clients, accounts payable, and accounts receivable
  • Assist with processing the company-wide payroll for all locations
  • Coordinate with other office administrators at other office locations to design and implement office policies, and establishes standards and procedures for staff, all while maintaining compliance with company policies
  • Coordinate all office activities and company events by office location
  • Manage office supply inventory: orders and replaces supplies as necessary to avoid interruption with office procedures, monitors copier/printer operations and troubleshoots issues when they arise
  • Retrieve information as requested from records, email, and other related documents; prepares written summaries of data when needed
  • Respond to and resolves administration inquiries and questions
  • Coordinate and schedule travel, meetings, and appointments for managers and staff
  • Assist with preparation agendas, minutes, and schedules for meetings
  • Coordinate with outside vendors for necessary office services such as auto repairs, cleaning, maintenance, and other office equipment needs
  • Other duties as assigned
